AGM Results

Hello Adventurers!

The membership have voted to; allow the GEAS committee to make executive decisions regarding Conpulsion without an AGM, and to ratify the advisory roles of Webmaster and Equality & Wellbeing Officer in addition to creating a second E&W Officer position.

Our new committee is:

  • President – Duncan Henley-Washford
  • Secretary – Emma Mackay
  • Treasurer – Harvey Newman
  • Events Organiser – Holly Rankin
  • Socials Coordinator – Stella Segar
  • Conpulsion Liaison – Claire Bath
  • Webmaster (Advisory) – Alan Jackson
  • Equality and Wellbeing Officer (Advisory) – Vivek Santayana & Emi Booth

The members have also voted to award life membership to:

  • Vivek Santayana – for his work on updating and upholding our Welfare and Game Safety polies during his 2019-2021 tenure on committee, and his efforts to make the gaming community a safer place for all.
  • Robyn Higgins – for her warm and compassionate leadership during these unprecedented times, and her long commitment to the GEAS and it’s members.
  • Sophie Hine – for being instrumental to the running of GEAS, going above and beyond to making the society a welcoming place. (I made Robyn write this)

Good luck to our new committee, I hope that your tenure is fruitful! It’s been great serving on the GEAS committee for the last two years and I look forward to continuing gaming with you all 🙂

AGM Links and Nomination In Absentia

Hello there, Adventurers!

As you’ll have heard by now, we’re having our AGM this Sunday at 5pm. It’s incredibly important that we meet quorum during the AGM or we won’t be able to re-register the society for next year, so we need everyone to attend if they can. We’ll be voting on several motions and electing a new committee, in addition to delivering this years reports from the President, Secretary and Treasurer.

Running for Committee If You Can’t Be There

If you’d like to run for a committee position then you simply need to turn up on the night, and either nominate yourself or have a friend do so. It is possible to run for a position without attending the AGM, but we strongly suggest that you do attend as it greatly increases your odds of being elected. However, if you definitely can’t be there; you can send us a short paragraph about who your are, why you’re best suited to the role, and any plans you may have for the society if you are elected. This will be read by a one of the committee to the attending members.

Conpulsion Lite Programme

Hello Adventurers!

As you’ll have heard, GEASs yearly gaming convention Conpulsion is taking place next weekend, from the 8th to the 10th. We’re not charging for entry this year, but do ask that attendees consider making a donation of £5 towards our chosen charity; Empty Kitchens Full Hearts is an Edinburgh charity that’s been providing free meals to those in need during the Covid-19 crisis, as of April 2020 the volunteers have provided over a million meals to those in the local community. If you’re attending Conpulsion from outside of the UK and don’t want to donate abroad, we ask that you consider donating an equivalent amount to a food bank or project local to you.

The convention will be hosted online through the Conpulsion Lite Discord (which can be joined here: https://conpulsion.org/discord). We’ve now confirmed out programme for the weekend, which can be found below or in full here: https://conpulsion.org/programme/

  • Friday, 8th April

Conpulsion Call for GMs

Hello there Adventurers!

GEAS’s annual gaming convention is taking place next month from the 8th to the 10th of April, we’re running a stripped back event this year with an afternoon of one-shots on Sunday the 10th from 1pm to 5pm. You can find out more about the event and take a look at our programme here: https://conpulsion.org/programme/

Games submissions are still open for the rest of the working week, with the closing deadline at 5pm on Friday 25th March. You’re welcome to run (more or less) anything you’d like and we’ve implemented the same submission format that we use for GEAS. If you’d like to take part and support the convention, the games can be submitted here: https://conpulsion.org/submission

We’d love for our roster of GMs to represent the community we have here at GEAS, which is why we’d especially welcome submissions from people of minoritised genders and backgrounds. Conpulsion would be more than happy to support new GMs, even if you’ve never run a game here before.

AGM Motions and Agenda

Greetings Adventurers,

The AGM is almost upon us! It’ll be taking place online on Sunday the 3rd of April at 5pm, we’ll be sharing the details in the week before the meeting. Everyone is welcome to come along and take part, though only matriculated students who have bought GEAS membership at least 24 hours before the AGM are allowed to vote. If you still need to buy semester 2 membership, then you can purchase it via EUSA (please make sure to log in with your student account if you have one):

AGM Reminder

Greetings Adventurers,

This just a quick reminder that we’ll be having our AGM on the 3rd of April at 5pm, online between our Sunday gaming sessions.

On the night we’ll be inviting members to propose new motions to the society, this could be to introduce a policy you’d like us to adopt or something you want us to take action on. We’re asking that all motions be submitted by 5pm on Saturday the 19th of March, this is so we can give the membership time to read and consider your motion. We have a guide on how to put forward a motion and a template available here: https://geas.org.uk/proposals
All proposals should be sent to the committee via email at: geas.committee

We’ll also be voting in a new committee! All eligible members are welcome to nominate themselves or another, however, due to EUSA restrictions only matriculated student members may run for non-advisory roles. Additionally, the advisory role of Social Media Manager is being retired this year and won’t be up for election. If you want to apply for one of these roles then you must attend the AGM on the 3rd, you’ll be expected to give a short speech about why you should be elected to the committee and answer questions from attendees.

Committee roles:

  • President (Executive) – The head of the committee, responsible for delegating tasks among office bearers and direction of the society as a whole.
  • Secretary (Executive) – Responsible for communication with the society and student union, filing GEAS’s paperwork, organising and minuting committee meetings.
  • Treasurer (Executive) – In charge of managing the society’s finances and allocating money for events, such as the Conpulsion budget and pub quiz prizes.
  • Events Organiser – Organises larger society events such as pub quizzes, one-shot nights, and the Student Nationals trip.
  • Socials Coordinator – Responsible for organising monthly society socials, this has in the past included; casual gaming nights, coffee shop socials, and pub meet ups.
  • Conpulsion Liaison – The point of contact between the GEAS and Conpulsion committees, responsible for working with the student union to help organise the society’s gaming convention.
  • Webmaster (Advisory) – Responsible for the upkeep of the GEAS website, mailing list management, and keeping committee owned accounts secure.
  • Equality and Wellbeing Officer (Advisory) – Acts as a point of contact for anyone with welfare concerns that are related to the society, and enforces the society’s complaints and anti-harassment policies.

Taking Part in the AGM

Hello there Adventurers,

As you’ve (hopefully) heard we’ll be holding this years AGM on the 3rd of April at 5pm, online and between our regular gaming sessions. This unfortunately long email is all about how to get involved with the AGM and the behind the scenes of the society. I’ve broken it down into sections so you can find what you need, but it’d be appreciated if everyone read the first section.

Voting and General Behaviour
Due to current restrictions, we’ll be holding the AGM online again this year and have decided to go ahead with a live meeting that will be hosted on either Zoom or Discord. This will allow those submitting motions or running for election to directly address the membership, and for the members in turn to ask questions of the speakers. It’s important to know that only matriculated students who have bought membership at least 24 hours before the meeting can vote, any member who isn’t currently enrolled at the University of Edinburgh isn’t allowed to vote in any capacity. However, any member is welcome to speak at the AGM as well as submit motions for consideration.

We’re trusting that you’ll all be considerate during the meeting and employ common curtesy towards your fellow members, including staying muted when not invited to speak and moderating your language when you are. Everyone is welcome to take part but we have a zero tolerance policy for bullying and harassment, this includes recording/streaming the meeting or being purposefully disruptive. This is not a platform to air personal grievances with other members or the committee, if you have a complaint it should be directed as per our complaints procedure, which can be found here: https://geas.org.uk/about/complaints-procedure/

Proposing A Motion
The best way to help shape GEAS is to submit a motion to be voted on at the AGM, this could be to introduce a policy you’d like us to adopt or something you want us to take action on.
